Privacy policy

We ask for a name, an email address and a phone number, and nothing else. Here is exactly what happens to them.

Last updated 8 September 2026

1. Who is responsible for your data

BeSpotlight Ltd, Basement, 36 St. Margaret’s Street, Canterbury, Kent, CT1 2TG, is the data controller for the information described here. If you have any question about your data, email support@bespotlight.co.uk.

2. What we collect

When you buy a ticket we ask for, and store:

  • your name, and the name of each person you are buying a ticket for;
  • your email address;
  • your phone number — so the organiser can reach you quickly about the event itself, for example a venue change or a cancellation;
  • what you bought, what you paid, and when.

We also record whether a ticket has been scanned at the door, and the time it was scanned.

We never see or store your card details. Payments are handled entirely by our payment provider on their own pages; we only receive confirmation that a payment succeeded.

3. Why we use it, and our lawful basis

  • To sell you a ticket and get you into the event — sending your tickets, checking them at the door, answering questions about your order. Our lawful basis is performance of our contract with you.
  • To keep proper records — accounting, tax and dealing with any payment dispute. Our lawful basis is our legal obligations and our legitimate interest in keeping accurate records.
  • To send you news about future events — only if you ticked the box at checkout. Our lawful basis is your consent, and you can withdraw it at any time.

4. Marketing emails

The marketing checkbox at checkout is never pre-ticked, and buying a ticket does not sign you up to anything. If you do tick it, we record the moment you did. Every marketing email has an unsubscribe link, and unsubscribing takes effect immediately. Unsubscribing never affects the emails about tickets you have actually bought.

5. Who else sees your data

We use a small number of service providers to run the site, and they only process your data on our instructions:

  • our payment provider, to take payments and issue refunds;
  • our email provider, to deliver your tickets and any notices;
  • our hosting and database providers, which store this site and its records;
  • an error-monitoring service, which tells us when something breaks.

We do not sell your data, and we do not share it with other promoters or advertisers. Where a provider processes data outside the UK, that transfer is covered by the safeguards UK data protection law requires.

6. How long we keep it

We keep order records for as long as we need them for accounting and tax — generally six years, as UK tax law requires. If you asked for marketing emails, we keep you on that list until you unsubscribe.

7. Your rights

You can ask us to:

  • give you a copy of the data we hold about you;
  • correct anything that is wrong;
  • delete your data, where we do not need to keep it for tax or accounting;
  • stop using it for marketing — always, and immediately.

Email support@bespotlight.co.uk and we will respond within one month. If you are unhappy with how we have handled your data you can complain to the Information Commissioner’s Office at ico.org.uk.

8. Cookies

We do not use advertising or analytics cookies, so there is no cookie banner to dismiss. The only things we store in your browser are the ones the site cannot work without:

  • a short-lived record of a promoter link you followed, so the right person is credited;
  • a sign-in session, but only for our own staff using the admin area;
  • a security check from Cloudflare that tells us you are not a bot.

9. Changes to this policy

If we change how we use your data we will update this page and change the date at the top. The ticket terms are here.
